Coordinating with Your Insurance Company for Your Claim

For commercial property owners, the roof is one of the most critical—and expensive—components of the building. Regardless of the cause, roof damage can disrupt business operations, create safety concerns, and result in costly repairs. Filing a commercial roof insurance claim can be a complex and time-sensitive process.  But property owners can significantly increase their chances of a smooth, successful claim. Here’s how to work with your insurance company from the moment damage is discovered to the final payout.

  1. Act Quickly After the Damage Occurs: Time is critical. The sooner you report the damage, the better your chances of avoiding complications with your claim. Most commercial policies require damage to be reported within a specific timeframe—waiting too long could lead to a denied claim. As soon as you notice roof damage:
    • Secure the property to prevent further loss (tarp exposed areas if safe to do so)
    • Notify your insurance carrier immediately
    • Review your policy to understand your coverage, deductibles, and any exclusions
  2. Document Everything Thoroughly: Before making any repairs (other than temporary emergency mitigation), document the damage thoroughly:
    • Take clear photos and videos from multiple angles, with timestamps
    • Take wide shots of the entire roof and close-ups of specific damage
    • Save weather reports and news coverage of any event that may have caused the damage

Also, gather documentation about the roof’s condition before the event—such as inspection reports, maintenance records, and receipts from prior repairs. This can help prove that the damage was caused by a covered event and not due to neglect.

  3. Hire a Reputable Roofing Contractor Early: Work with a licensed, insured commercial roofing contractor who has experience handling insurance claims. Reputable contractors offer free inspections, as well as provide a detailed damage assessment, estimate repair or replacement costs and even be present during the insurance adjuster’s inspection to ensure nothing is missed. Their documentation and professional opinion can support your claim and help counter any lowball estimates from the insurance company.
  4. Understand Your Insurance Adjuster’s Role: After you file the claim, the insurance company will assign an adjuster to assess the damage. Treat this appointment like a business meeting – be present (or have your contractor present); provide all documentation you’ve gathered; and ask questions and take notes. Remember, the adjuster represents the insurance company—not you. Their goal is to assess the damage fairly, but they may not always have your best interests in mind. Your contractor can advocate on your behalf and point out damage you have not noticed on your own.
  5. Communicate Clearly and Professionally: Throughout the claims process, log phone calls and emails; request confirmation in writing for all key decisions and be polite but persistent if delays occur (or if you disagree with the adjuster’s findings). Professionalism goes a long way in keeping your claim on track and reducing friction with your insurer.
  6. Know When to Seek Help: If your claim is delayed, undervalued, or denied without apparent reason, you can request a second inspection, involve a public adjuster (they work for you, not the insurer) or consult an attorney who specializes in commercial property claims.
These professionals can often resolve disputes and help recover the full amount you’re owed under your policy.

Working closely with your insurance company doesn’t mean you have to take a passive role. On the contrary, being organized and proactive is the best way to ensure your commercial roof damage claim is processed smoothly and fairly.

A little preparation goes a long way—and can save you tens of thousands of dollars in the long run. When in doubt, lean on experienced roofing professionals and claims specialists who can guide you.
